How to update stock

Open this page

Change the stock count and the low stock alert.

Last verified October 24, 2026

Before you start

  • You're signed in to a staff or owner account.
  • The part is already in your inventory.
  • Changing a count is done on the web. The iPhone Items screen can show stock, but it cannot edit it.

Step 1: Open Inventory

On the web, open Inventory. Use Search to find the part. The filters are the dropdowns under the page title: Category, Brand, Device Model, Component, and the inventory view (All Inventory, Stock on Hand, Low Inventory, or Alerts On).

If the part has variants, such as screen tiers or back glass colors, click the arrow next to the name. Each variant has its own count. The parent row does not show a count.

On iPhone, open the Items tab. Search by name or SKU. Tap the filter button, choose a view in Filter inventory, then tap Done. Tap a row with a chevron to see its variants. Each variant shows Stock and a Low badge when it is low. You cannot change the count there.

Step 2: Change one count

In the Inventory table, click the number in the Stock column. Type the number on the shelf, then press Enter, click the checkmark, or click away. Press Escape or the X to leave the old count.

The low stock alert is separate. In the Alert column, check the box to turn the alert on or off. When it is on, the number next to the box is the threshold, from 0 to 20. It saves as you change it.

For profit, history, and the rest of the part, click the item name or Edit. On that page, click Manage Stock & Alerts. Stock on hand shows the current count. Choose a Reason, enter an Adjustment, and New Stock updates. Turn Low Stock Alert on or off, set Stock Threshold, then click Done.

Step 3: Update many parts

Filter or search first. The checkbox in the table header stays disabled until you do. Select the parts, or use that header checkbox to select everything in the filtered list.

Open Actions in the page header, next to Refresh and Setup Inventory. Choose Bulk Update Stock, enter Stock value, and click Update.

To change alerts for the same parts, open Actions and choose Bulk Update Stock Alert. Check Enable low stock alerts, set Low stock threshold, and click Update.

What happens next

The Stock column shows the new count. A part shows up under Low Inventory when its alert is on and the count is at or below the threshold. A change made in Manage stock is listed in that part's history.

Count one model at a time

Set the Device Model filter to the phone you are counting, for example iPhone 13. The list loads the parts stored for that model, including each screen tier, batteries, back glass colors, ports, and cameras. It is the fastest way to count a shelf or receive a supplier order for one model. A part you know is on the shelf but shows 0 stands out.

Open the part page

Click the item name, or Edit on that row, to open the part page. That page shows unit cost, gross profit, gross margin, and stock history.

Common issues

The low stock alert fired but the count looks right. Check the threshold in the Alert column, or Stock Threshold in Manage stock. On the list, that threshold only goes up to 20.

You changed the wrong color or tier. Click the arrow, open the right variant, and correct that count. If another variant was changed too, correct that one as well.

A part used by more than one model still has one stock count. Changing it changes that part everywhere it is used.
